Privacy Policy
1. Who we are
SProperty is run by Sean Pickford, a sole trader in Victoria, Australia (“SProperty”, “we”, “us”). You can contact us about privacy at support@sproperty.app. We aim to handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
2. Landlords, tenants and who decides
Landlords sign up and use SProperty to manage their properties. Tenants are invited by their landlord. Most information about a tenant is entered by their landlord, or by the tenant at their landlord’s request. For that information the landlord decides what is collected and why, and is responsible for having the right to collect it and for telling their tenants. We store and process it on the landlord’s behalf and only use it to provide SProperty to them and their tenants.
3. What we collect
About landlords
- Name, email address, phone number and login details.
- Property names and addresses, rooms, rents and settings.
- The bank account details or PayID you choose to show your tenants so they can pay you.
- Records you add: payments, bills, expenses, compliance checks, documents and photos.
- Bank statement lines you upload to the bank feed (dates, amounts, descriptions and payer names).
- Your plan and, once paid plans start, billing records from our payment provider (we never see or store full card numbers).
About tenants
- Name, email address, phone number and emergency contact.
- Tenancy details: room, move-in and move-out dates, rent, bond, payment history, receipts and statements.
- Application details your landlord asks for, such as current employer, previous landlord, references and payslips.
- Agreements, condition reports (including photos), notices and other documents.
- Maintenance requests, your share of household bills, and access or room codes your landlord records.
About everyone who uses SProperty
- Sign-in records (for example when you last signed in), and technical information our hosting providers log, such as IP address and browser type.
- Feedback you send us, with the page you were on and your device type.
- If you turn on notifications, a push subscription for your device.
We don’t ask for identity documents, tax file numbers or card numbers, and we ask that you don’t upload them.
4. How we use it
- To provide SProperty: show rent and records, create receipts, statements and reports, split bills, and match bank lines to payments.
- To send the emails and notifications the landlord has switched on, such as rent reminders, overdue notices, maintenance updates and compliance reminders.
- To keep accounts secure, prevent misuse, and keep each landlord’s information separate from every other landlord’s.
- To answer support requests and feedback, and to improve SProperty.
- To manage plans and billing, and to meet our legal obligations.
We don’t sell personal information, we don’t use it for advertising, and we don’t show ads.
5. Who we share it with
Within SProperty, a landlord can see the records of their own tenants, and a tenant can see their own tenancy. No other landlord or tenant can see them.
We use these service providers to run SProperty. They handle information only so they can provide their service to us:
- Supabase — database, sign-in and file storage, hosted in Sydney, Australia.
- Vercel — hosting of the app, with servers in Sydney. Public pages may be cached on servers in other countries.
- Resend — to send SProperty’s emails.
- Cloudflare — the sproperty.app domain, and passing on emails sent to our support address.
- DocuSeal — online signing of agreements and condition reports, only if the landlord uses it.
- Apple, Google, Mozilla and Microsoft push services — to deliver notifications to devices that have turned them on.
- A payment provider such as Stripe — once paid plans start, to take payments for subscriptions.
Some of these providers (for example Resend, Cloudflare and DocuSeal) may store or process information outside Australia, including in the United States and Europe. We may also disclose information if the law requires it, or to protect the safety or rights of people or of SProperty.
6. How we protect it
Information is encrypted in transit, access is limited by sign-in and by account, and database rules keep each landlord’s records apart. No online service can be completely secure, so please use a strong password and keep it to yourself. If a data breach is likely to cause someone serious harm, we will tell the people affected and the regulator as the law requires.
7. How long we keep it
We keep information while the landlord’s account is open. When a landlord closes their account (My account → Close account), it is locked straight away and can be reopened for 30 days; then the landlord’s information, their tenants’ information and files, and logins that belong only to that account are permanently deleted — always within 90 days of closing, unless the law requires us to keep something longer. Backups are overwritten on a rolling basis. Landlords may have their own legal duties to keep tenancy records, so use Download all my data (My account) before closing your account.
8. Cookies and browser storage
We use only the cookies SProperty needs to work: one that keeps you signed in, and one that remembers which property you are viewing. Some pages remember small things in your browser, such as a move-out checklist. We don’t use advertising or tracking cookies.
9. Your choices and rights
- You can see and update most of your information in SProperty yourself.
- You can ask us for access to, or correction of, the personal information we hold about you by emailing support@sproperty.app. We’ll reply within 30 days.
- Tenants: because your landlord manages your tenancy records, we may pass your request to them or ask you to contact them first.
- Landlords can turn SProperty’s emails on or off on the Notifications page. Anyone can turn push notifications off in their device or browser settings.
10. Children
SProperty is for adults. It isn’t intended for people under 18.
11. Complaints
If you have a concern about how we handle your information, email support@sproperty.app and we’ll respond within 30 days. If you’re not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
12. Changes
We may update this policy as SProperty changes. We’ll show the date of the latest version at the top, and let landlords know by email about significant changes. See also our Terms of Use.
